The Opportunity
The Duty Officer is responsible for ensuring Import / Export shipments are managed and completed effectively, efficiently and compliantly from start to finish, delivering Best in Class service to our customers at all times.
Location: Singapore
Line Manager: Operations Supervisor
Working Pattern: Working hours 7am to 7pm, excluding 1 hour lunch, on a 3 days on / 3 days off working pattern
Key Role Accountabilities
General Duties: Operations
- Work within the Operations team, to complete import / export shipments from start to finish, effectively managing and expediting AOG shipments and handling logistics and third-party inventory shipments, always ensuring excellent customer service.
- Update comments and actions within the Company system to allow understanding of workflow and handling of shipment specifics without the requirement to locate individual file.
- Ensure calls are answered and email correspondence managed within the defined Group Service Standards guidelines, deleting any unnecessary emails, to ensure efficiency and Best in Class service.
- Investigate and implement the most cost-effective dispatch of each shipment in accordance with the customers' instructions.
- Liaise and negotiate with the suppliers to ensure costs are being provided at the time of booking.
- Manage all necessary documentation and online forms for the efficient, cost-effective and lawful execution of all import activities.
- Efficiently and effectively complete the booking and execution of AWBs and declaring Tradnet permits.
- Provide ‘collection / delivery notes’ and / or notification ‘in writing’ of all relevant collection / delivery instructions.
- Ensure Customs Entries are being completed as per the written instructions from the customer or as per the agreed customer SOP and are completed to a high standard.
- Liaise with Warehouse and Transport Department for reliable distribution for imports / exports.
- Arrange direct drives as per customer requests.
- Arrange On Board Couriers when necessary.
- Ensure that any customer service failures, billing issues, other issues and / or errors are reported without delay to your line manager and Station Manager.
- Deal with inventory requirements, logging incoming and outgoing shipments that are stored in our warehouse.
Accounting & Reporting
- Review and identify areas to maximise profitability by proactive file management.
- Ensure all billing is carried out within Company timeframes, monitoring and ensuring correct input of purchase costs into the system enabling accurate billing and profit reporting.
- Follow B&H Worldwide company Processes and Standard operating procedures ensuring company KPIs are met and proactively manage operational files through agreed KPIs.
Customer Focus:
- Answer and return customer emails and calls in a timely manner and to agreed standards.
- Be polite and provide a professional and responsive service to customers, industry partners and team members.
- Communicate any delays, changes, or issues promptly to the Operations team and customers as required.
Compliance and Health & Safety
- Adhere to the Company health and safety policy, and other requirements relating to care of equipment, warehouse and operations.
- Ensure all operations are complaint in relation to AEO regulations, Customs etc.
- Complete all shipments within the parameters of the ISO 9001:2015 QMS.
- Be aware of the standards expected in respect of the job, attendance, time keeping and behaviour and the standards set out in the handbook and the HR Policy Manual.
- Make sure you understand and adhere to any existing policy changes or any new policies.
Your Experience
- This role needs to be underpinned by excellent customer service skills. You will have excellent attention to detail and possess a sound knowledge of Import / Export processes.
- Proven experience working in a fast-paced environment, preferably with aerospace logistics industry.
- Sound knowledge of Microsoft suite, including Word, Excel and PowerPoint.
- The ability to work pro-actively using own initiative.
- Strong communication skills, both written and verbal.
- Previous experience dealing with a varied customer base
- Ability to build strong relationships.
- Problem solving skills, with the ability to consider several possible options and decide on most appropriate method.
- Ability to work pro-actively using own initiative.
- Strong organisational skills with the ability to prioritise as well as focus on the detail
- Excellent process and planning skills.
- Strong commercial awareness, understands impact of actions
- Experience of working with Cargowise and Dangerous Goods Compliant would be an advantage
