JOB SUMMARY

Sales administrative role to support maximization of Sales within the Sales & Catering Department. Perform general office duties to support Sales & Marketing (e.g., filing, sending emails, typing, photocopying etc). To also ensure a clean and safe working environment.

Represent the Hotel in accordance to company standards of dressing, grooming and hygiene.  Work together as a team player within and inter-departments. Maintain confidentiality of proprietary information; protect company assets.

 

JOB DESCRIPTION

  1. Support the Director of Sales & Marketing, Director of Sales, Director of Catering Sales and the Sales Managers in their day to day activities
  2. Prepare daily VIP arrivals list, welcome cards and arrange for amenities for proactive sales team.
  3. Assist managers with inquiries and information requests including proper follow-up on all quotations within 24 hours.
  4. Responsible for proper recording of all enquiries, turndown and cancellations in hotel systems (SFA & Opera).
  5. Assist to qualify leads on behalf of managers, where required.
  6. To perform tele-marketing functions as and when required.
  7. Prepare sales-related documents throughout the sales process (e.g., proposals, contracts, or banquet event orders).
  8. Prepare and print menus, tent and menu cards as requested.
  9. When deemed ready, sales managers will bring interns to meet prospective and regular clients, including Hotel and Banquet facilities site-inspections. 
  10. Contribute actively in developing and maintain a client database.
  11. Contribute actively in Hotel promotion through the use of EDMs and potential client visits.
  12. Learn of advantages and disadvantages of competitors.
  13. Actively attend all Catering meetings and other required meetings.
  14. Share customer feedback received within the department.
  15. Assist the Director of Sales & Catering Sales on day to day reports, where required. 
  16. Contribute to the department with new ideas or suggestions, if any.
  17. Perform any other duties assigned by immediate supervisor or department head according to changing business, economic, customer needs or restructure within Sales & Marketing department.
