The Office of Academic Services (OAS) plays a key role in advancing the University's educational goals through implementing and administering the academic framework and policies established by the University's academic body. We support the development and review of academic policies, advise on the procedures, and maintain the academic records of students.
This role manages student enrolment and candidature-related processes such as leave of absence, programme withdrawal, and programme changes, and ensures accurate and timely maintenance of student particulars and enrolment status records. The incumbent will also update credit transfers and course exemptions, and performs business process review and systems enhancements.
Responsibilities
Student Matriculation Processes
Manages the end-to-end matriculation processes for new students including scheduling, resource planning, preparing communication materials, system set-up, data verification and coordination with stakeholders.
Issues digital student pass.
Student Particulars, Status and Candidature Records
Updates changes to student particulars and candidature periods.
Maintains student status (active/in-active) record.
Manages audit and appeal for waivers (e.g. of minimum candidature period)
Candidature-related Processes
Manages the end-to-end processes of the following:
- Credit transfer
- Course Exemption
- Change of programme and study mode (Part Time/Full-Time)
- Change of study track (Coursework to dissertation)
- Leave of Absence and Resumption of studies
- Withdrawal from programme
Collaborates with Schools to process studentsβ applications and record approvals in student records.
Provides advisory on policy and procedure.
Conducts first level review of appeal cases that are recommended by schools and draft case writeup for managementβs approval.
Manages online application systems including set-up and granting of access to Schools.
Academic Governance, Policy and Process Streamlining, System Enhancement and Data Request
Collaborates with Senior Officer in implementing academic policies and guidelines, and in reviewing procedures.
Supports in the design of workflows and in process streamlining, automation efforts and system changes.
Addresses data requests and supports metrics reporting.
Addresses phone and email enquiries.
Job Requirements
Polytechnic diploma in any discipline.
Proficient in use of IT applications and databases.
Knowledge of SQL/VQL would be an advantage.
At least 2 years of working experience in stakeholder communications, academic services, and/or administration.
Experience in higher educational setting would be an advantage.
Good interpersonal and communication skills (both written and oral)
Meticulous and high attention to details.

Fast learner who is eager to learn new skills and adapt to different situations.
